9. Google User Data and Velio Mail Assistant

This section applies when you connect a Google account to Velio Mail Assistant.

Google data we access

With your Google OAuth consent, Velio Mail Assistant may access Gmail message content and metadata, attachments, labels, drafts, sent messages, and basic Gmail settings such as filters. It also stores OAuth credentials needed to keep the connection working. The exact access requested is shown on Google’s consent screen.

How we use Google data

We use Google user data only to perform actions you explicitly request, such as searching or reading mail, summarising messages, drafting or sending replies, applying or removing labels, and managing filters. We do not sell Google user data, use it for advertising, or use it to train or improve general-purpose or foundation AI models.

When you invoke an AI-assisted email action, the information needed for that action may be sent to the AI service you selected, currently OpenAI (including Codex/ChatGPT) or Anthropic (Claude). Those providers process the information to return the requested result and handle it under your account, product, and retention settings with that provider. We do not allow human access except where you request support, where necessary to investigate security or abuse, or where required by law.

Velio Mail Assistant’s use and transfer of information received from Google APIs complies with the Google API Services User Data Policy, including its Limited Use requirements.

Storage, security, and retention

OAuth credentials are stored on the authorised user’s device and protected using device access controls. Velio Mail Assistant does not operate a separate hosted database of Gmail messages. Google user data included in an AI request may be retained by the selected AI provider according to that provider’s applicable account settings and terms.

We retain OAuth credentials until you disconnect the account, revoke access, delete the local credentials, or the credentials expire. We use reasonable technical and organisational safeguards, but no electronic system is completely secure.

Disconnecting and deletion

You can revoke access at any time from your Google Account connections. To remove locally stored OAuth credentials or request help deleting related data, contact hello@velio.co. Revoking access stops future Gmail access but does not automatically delete information already retained by a third-party AI provider under your account settings.
